The Controller and Accountant-General’s Department has issued a notice regarding the update of Ghana Card information on the Government of Ghana Payroll System. This follows earlier communications dated 20th June 2024 and 21st May 2025, which directed certain covered entities to ensure that employees’ Ghana Card details were correctly captured on the payroll platform.
As part of efforts to improve efficiency and strengthen payroll operations for government workers, an enhanced e-Payslip system has been introduced. This upgrade allows employees to conveniently access their monthly payslips through the platform.
However, after the rollout of the upgraded system, the Department identified significant data inconsistencies affecting some employees. These issues stem from National Identification Authority (NIA) numbers recorded on the payroll system that do not match the corresponding records held by the NIA. As a result, some affected staff are unable to access their payslips.
In response to this situation, the Human Resource Departments of the relevant covered entities have been instructed to act immediately. They are required to correct the NIA numbers of all affected employees on the payroll system. Additionally, they must submit applications for the correction or insertion of NIA numbers, along with any applicable transfer posting letters and clear printed copies of the employees’ Ghana Cards, to the Controller and Accountant-General’s Department.
A comprehensive list of employees currently marked as having “no NIA” details has already been sent to the official corporate email addresses of the affected covered entities for prompt action.
The Department has further indicated that employees whose NIA details remain unverified will have their salaries suspended starting from 15th March 2026. This action forms part of preparations for a nationwide employee re-verification exercise.
The Controller and Accountant-General’s Department counts on the continued cooperation of all concerned parties to ensure the successful resolution of these discrepancies.
